Sports Event Executive
A great opportunity to be a part of Vietnam Trail Series at Topas, bringing mountain runners exceptional experiences at Vietnam Mountain Marathon, Vietnam Trail Marathon and Vietnam Jungle Marathon.
The role is largely focused on customer service, working on our registration system and responding to questions and requests from our mountain runners.
At Topas we place importance on being friendly and approachable. The ideal candidate will therefore enjoy working with people via email, social media, phone and face to face.
We are seeking a warm, friendly, welcoming person who is highly focused on providing excellent customer services.
Attention to detail and excellent organisational skills are essential.Fluency in English and Vietnamese is required.

Job Description
1. Runner registration and management
- Daily management of our online booking system
- Registration of runners via email
- Work with run clubs and companies to manage group bookings
- Respond to emails from runners
- Answer telephone calls from runners
2. Race execution
- Assist with management of race kit packing
- Assist with the management of race pack collection
- Oversee the runner information booth at race pack collection
- Assist with finish line management, including the medals/finisher t-shirt/drop- bags/meals/prizes/bus transfers…etc for runners
- Answer post-race questions/issues
3. Social Media
- Respond to questions sent via all social media platforms
- Monitor comments on all social media platforms
4. Websites
- In partnership with the marketing team, ensure key information on the websites remains up to date
- Basic knowledge of WordPress is a plus
5. Partnerships and Sponsorships
- Registration of runners from our partners and sponsors
- High level customer service for partners and sponsors
6. Newsletters
- In partnership with the marketing team, create the content for newsletters and social media for the races and other aspects of the Topas business
7. Other tasks assigned by the managers
Candidates should have
- Warm and welcoming personality with high focus on providing excellent customer services
- Excellent project management skills with the ability to multitask and prioritise tasks effectively
- Very strong attention to detail, ensuring all created copy is of the highest standard
- A positive attitude and the ability to work well as part of a small, focused and driven team
- Excellent written and verbal communication skills in English and Vietnamese
